Privacy Policy

Last updated: September 30, 2026

In short

  • Files you upload are processed automatically and deleted from our servers within one hour. The only exception is a file you explicitly choose to share with us to report a problem: that copy is kept temporarily, for up to 14 days, and then deleted.
  • Files are processed automatically and never used to train AI or machine-learning models. Our staff do not read your files in normal operation — only rarely, when strictly necessary to fix a fault, prevent abuse, or comply with the law.
  • Optional cookies help us keep GuruPDF useful; you can change preferences anytime via Cookie preferences.
  • We never sell your personal information, and we never share the content of your files.
  • You can ask us to access, correct, or delete your data at any time via [email protected].

1. Introduction

Welcome to GuruPDF. This Privacy Policy describes how the company behind GuruPDF ("GuruPDF", "we", "us", or "our"), a corporation incorporated in Ontario, Canada, collects, uses, and discloses your information in connection with your use of our website (gurupdf.com) and related services (collectively, the "Service"). Your privacy is critically important to us, and we are committed to protecting it.

2. Information We Collect

We collect information in the following ways to provide and improve our Service:

  • Files You Provide: We temporarily process the files you upload to perform the requested conversions or modifications. We do not store your files permanently; they are automatically deleted from our servers one hour after processing is complete. Your files are handled by automated software, and we do not monitor, read, or review their content in the ordinary course of business. Your files are never used to train AI or machine-learning models. In limited cases our authorised staff may access file content — for example to diagnose a technical failure you have reported, to investigate suspected abuse or a security incident, or where we are legally required to do so — and any such access is restricted to what is strictly necessary and used for no other purpose. The only exception is a file you explicitly choose to share with us to report a problem: that copy is kept temporarily, for up to 14 days, and then deleted.
  • Account Information: If you choose to create an account, we collect your name, email address, and password to manage your account and provide you with access to features like conversion history.
  • Usage Data: Our server logs record basic request information (IP address, browser type, request time) for security and abuse prevention. Aggregated information about how the Service is used may be collected through optional cookies, according to your preferences (adjustable anytime via the cookie banner or Cookie preferences).
  • Contact Information: If you contact us directly, we may receive additional information about you such as your name, email address, the contents of the message, and any other information you may choose to provide.

3. How We Use Your Information

We use the information we collect for various purposes, including to:

  • Provide, operate, and maintain our Service.
  • Process and complete your file conversions and other requests.
  • Improve, personalize, and expand our Service.
  • Understand and analyze how you use our Service.
  • Communicate with you, either directly or through one of our partners, for customer service, to provide you with updates and other information relating to the Service, and for marketing and promotional purposes.
  • Prevent fraud and ensure the security of our Service.
  • Comply with legal obligations.

4. Data Sharing and Disclosure

We do not sell, rent, or share your personal information with third parties except in the limited circumstances described in this policy:

  • Service Providers: We may share information with third-party vendors and service providers that perform services on our behalf, such as hosting, email delivery, and analytics. These providers are obligated to protect your information and are restricted from using it for any other purpose.
  • Legal Compliance: We may disclose information if required to do so by law or in the good faith belief that such action is necessary to comply with a legal obligation, protect and defend our rights or property, or in urgent circumstances to protect the personal safety of any individual.

We never share the content of your files with any third party.

5. Data Security

We implement industry-standard security measures to protect your information. All data transmitted to and from our Service is encrypted using SSL/TLS. While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure.

6. Data Retention

As stated, your files are retained on our servers for a maximum of one hour after processing. If you have an account, we will retain your account information as long as your account is active or as needed to provide you with services. We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

We keep a file for more than one hour only if you explicitly ask us to. After you rate a conversion, you can tick a box to let our team look at that file and fix the problem you reported; without that tick, nothing is kept. A shared copy is kept only temporarily, for up to 14 days, is used for nothing else, and is then deleted automatically. You can ask us to delete it sooner at [email protected].

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, such as the right to access, correct, or delete your data. In Canada, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA). If you are in the European Economic Area, the United Kingdom, or Switzerland, you also have rights under the GDPR and equivalent laws: access, rectification, erasure, restriction of processing, data portability, and objection, as well as the right to lodge a complaint with your local supervisory authority. To exercise any of these rights, contact us at [email protected] — we respond to verified requests within 30 days.

8. Children's Privacy

Our Service is not intended for use by children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information of a child under 13, we will take steps to delete such information from our files as soon as possible.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.

10. Service Providers We Use

We rely on a small number of service providers to run GuruPDF. They process data only on our instructions and only as needed to provide the Service:

  • Infrastructure / hosting: our servers receive, process, and briefly store uploaded files, which are deleted automatically within one hour (a file you explicitly choose to share with us is kept for up to 14 days).
  • Cloudflare: content delivery, DDoS protection, and the Turnstile anti-abuse check on forms.
  • Stripe: payment processing for credit purchases and subscriptions. Your full card details never touch our servers.
  • Analytics providers (Google Analytics, Meta, Microsoft Clarity, Ahrefs, Hotjar): help us understand aggregate use of the Service. Microsoft Clarity and Hotjar also record anonymised session replays — pointer movement, clicks and scrolling — with text typed into form fields suppressed by default. Optional cookies can be managed via the cookie banner. Global Privacy Control is honored where present.
